Japanese Nursing Association Privacy Policy

  • Basic Policy
    Regarding the appropriate protection and use of personal information, the Japanese Nursing Association (hereinafter referred to as “JNA”) complies with the provisions set forth below as well as Japan’s Act on the Protection of Personal Information and other applicable laws and regulations. JNA strives to continuously improve its management system and efforts to protect personal information at JNA.

  • Compliance with Laws and Regulations
    JNA will properly handle personal information in compliance with the Act on the Protection of Personal Information (Act No. 57 of 2003), other laws and regulations, and related guidelines such as those of the Personal Information Protection Commission.

  • Acquisition of Personal Information
    When acquiring personal information, JNA will notify or publicly announce the purpose of use in advance, and acquire such information by legal and fair means.

  • Purposes of Use of Personal Information
    JNA uses personal information within the scope necessary to accomplish the following purposes as well as those separately stipulated for each area of JNA’s work.
    JNA will not use personal information beyond the scope of the purpose of use without the consent of the individual(s) concerned, except as required by laws and regulations.

    (1) Members’ personal information

    • Managing members’ information
    • Identifying members
    • Receiving applications, operating, managing and communicating regarding JNA’s work
    • Planning, developing and improving the quality of JNA’s work
    • Conducting research and analysis for the promotion of JNA’s work
    • Providing information on JNA and its work, including by mail or e-mail
    • Responding to inquiries, including requests for disclosure

    (2) Personal information obtained from users of JNA’s work (excluding members)

    • Receiving applications, operating, managing and communicating regarding JNA’s work
    • Planning, developing and improving the quality of JNA’s work
    • Conducting research and analysis for the promotion of JNA’s work
    • Providing information on JNA and its work, including by mail or e-mail
    • Responding to inquiries, including requests for disclosure

    (3) Personal information obtained from partners with which JNA works, including government agencies and corporations

    • Communicating and conducting business discussions and meetings
    • Providing information to partners with which JNA works
    • Conducting business entrusted to JNA by partners with which JNA works
    • Providing information on JNA and its work, including by mail or e-mail
    • Responding to inquiries, including requests for disclosure

    (4) Personal information obtained from job applicants or retirees

    • Providing information to job applicants (including internship applicants), conducting recruitment activities and managing prospective employees
    • Providing information to and contacting retirees
    • Responding to inquiries, including requests for disclosure

  • Providing Personal Information to Third Parties
    JNA will not provide personal information to third parties, except in the following cases:

    (1) Cases in which the individual(s) concerned has provided consent.

    (2) Cases in which the provision of personal information is permitted by laws and regulations.

    (3) Cases in which information on membership or membership fee payment status is provided to healthcare facilities through the membership information management system “Nurseship”, for the purpose of managing membership within the healthcare facilities.

    (4) Cases in which contact information is provided to government agencies, including names and addresses of individuals who have completed training, including those who have completed training through the Training System for Nurses Pertaining to Specified Medical Acts.

    (5) Cases in which membership information is provided to the underwriting insurance company when a member applies for Nursing Liability Insurance.

  • Provision of Personal Information to Third Parties in Foreign Countries
    JNA will not provide personal information to third parties in foreign countries such as businesses located outside of Japan, except in the following cases:

    (1) Cases in which the individual(s) concerned has provided consent.

    (2) Cases in which the third party is located in a country that is stipulated by Japanese laws and regulations as having a personal information protection system with a level equivalent to that of Japan.

    (3) Cases in which the third party has established a system necessary for it to continuously take measures that are equivalent to those required of business operators handling personal information in Japan.

    (4) Cases in which the provision of personal information is permitted by laws and regulations.

  • Outsourcing
    JNA may outsource the processing of personal information to the extent necessary to achieve the above purposes of use. In such cases, JNA will appropriately select the outsourcing contractor and take protective measures for the entrusted personal information before entrusting it to the contractor. JNA will also exercise necessary and appropriate supervision over the contractor to ensure the security control of the entrusted personal information.


  • Sharing of Personal Information
    JNA shares personal information as specified below.

    (1) Information to be shared
    Name (for corporate organizations, this includes the name, title and affiliation of the executive/employee); date of birth; gender; address; phone number; fax number; email address; employer’s name and contact information; occupation; license number; JNA membership number; facility number; prefectural nursing association membership number; Nurseship/eNurse Center registration information; membership history; payment information, including bank name, branch name, account type and number, and account holder’s name; etc.

    (2) Scope of sharing

  • Use of Cookies
    The JNA website uses cookies. Cookies are data files that are stored directly on the computers of JNA website users (hereinafter referred to as “users” in this section). By using cookies, JNA can collect data regarding user browser type, visit times, pages visited, referring websites, and other traffic data. None of this data can identify specific users.
    Users who do not wish to have their data collected via cookies can use their browser's built-in function to automatically reject cookies, or to reject or allow a specific cookie (or cookies) on specific websites. Rejecting cookies may affect user experience on the JNA website.
    JNA also uses analytics, including Google Analytics, which uses cookies and similar technologies to collect and analyze usage of the JNA website and to analyze user behavior and trends. Analytics may also collect data regarding the use of other websites, applications, and internet resources. To opt out of being subject to analytics, please use the opt-out function provided in each analytics tool.

  • Security Control of Personal Information
    JNA will keep personal information accurate and up to date, and will delete such personal information without delay when it is no longer needed. Applying security control measures, JNA will also strive to prevent the loss, destruction, alteration, leakage, and unauthorized access of personal information.
    With respect to the security control of personal information, JNA will take organizational, physical, and technical measures, establish internal rules for information management and the protection of personal information, provide ongoing training to its officers and employees to ensure that personal information is handled appropriately, and periodically review such measures for continuous improvement.

  • Disclosure and Correction of Personal Information
    Upon receipt of a request for correction, discontinuation or erasure of the retained personal information, JNA will respond without delay after confirming that the request is from the specific individual identified by such personal information.
    Individuals wishing to request a correction, discontinuation, erasure or disclosure of personal information are asked to contact the JNA Personal Information Help Desk shown below.
    A disclosure request fee of 2,000 yen (excluding consumption tax) is charged for each case of personal information for which a disclosure request is made. Payment can be made in cash at JNA or by registered mail. However, JNA may not disclose the retained personal information if it determines that any of the following applies:

    (1) Cases in which disclosure is likely to harm the life, body, property, or other rights or interests of the individual(s) concerned or a third party.

    (2) Cases in which disclosure is likely to seriously impede the proper execution of the business of JNA.

    (3) Cases in which disclosure violates other laws and regulations.
